Hanarry West Meet June 18th
Hello parents,
Here is a lot of information for our tomorrow's meet from Hanarry West:
Hanarry WestHome of the Dolphins
Hanarry West Club, 527 Emily Drive, Lilburn, GA 30047
Welcome Eastmont Cove Olympians to Hanarry West! We are looking forward to a fun and encouraging experience for all our swimmers and families. We hope the following will provide your team with some helpful information. We want you to have everything you need for the meet, so please ask questions if we’ve left anything out.
Hanarry West is the second oldest team in the Gwinnett County Swim League, which means our pool is too. We’ve worked hard the past few seasons to update our swim team items – we have newer lane lines and backstroke flags! Please ask your swimmers during warm up to refrain from hanging on the lane lines. We had a lane line anchor break a few weeks ago. It has been fixed, but please ask your swimmers to treat the lane lines with care.
Hanarry West’s volunteer leadership team will be wearing turquoise shirts and name tags, so we can be easily spotted. Coaches will be wearing gray.
Parking: Everyone should park on the pool side of the street to ensure emergency vehicles can pass if needed. Eastmont Cove visitors: please follow all laws when parking. During our first home meet several cars were towed for blocking a fire hydrant, parking too close to a stop sign, parking on both sides of the road, and blocking a driveway. We have 4 parking spots reserved for those with a valid handicap decal. Those spots are given on a first come first serve basis. Once the 4 HC spaces are full those with family members that have a mobility challenge will be permitted to pull into the parking lot, be dropped off close to the pool gate, and then their vehicle must pull back out and park on the street.
Pool Layout: HW is a five-lane 25-yard pool. Attached you’ll find a diagram of the pool area. The visiting team has the entrance side of the pool to use. Most visiting teams set up parents along the pool and the swimmers in a bullpen on the deck; let's do this too. Ms. Elisa Vogan indicated she can watch any of your children that need watching while you are volunteering. Visiting swimmers can walk behind the staging chairs to enter the staging area (instead of walking all the way around the pool). The walkway will be roped off. Please remind swimmers that this is a WALKway – no congregating, staging, sitting, or parents in this area and keep noises to a minimum as it’s close to the starting blocks and starter. Due to limited deck space wagons are not permitted inside the pool gate. Parents are not permitted to sit beyond the starter table.
Schedule:There will be no bubble swim. The pool gate will open to parents and swimmers beginning at 4:45pm. Please do not enter the pool gate before 4:45pm. Volunteers will be busy setting up for the meet. Please plan to arrive at the facility around 5 p.m. The home team’s warm-up time is 5-5:25 p.m. and the visiting team’s warm up time will be from 5:25 – 5:50 p.m. We will begin the meet promptly at 6 p.m.
We will be recognizing our seniors during the final free relays.
Weather:
The weather forecast for Thursday evening is not favorable at the moment. We hope as we get closer to the meet the weather outlook will change. If it does not, please ask your timers, stroke and turn, and staging volunteers to bring umbrellas to use. If it's only rain, the meet will run as normal. If there is a high threat of thunderstorms; we will meet when you arrive and discuss possibly scratching relays. In hopes of completing all the individual events prior to the start of the storms. We'll follow the weather closely and reach out with any updates. If there is inclement weather the primary council members should meet by the computers as the meet committee, so we can discuss what to do.
Families, meet weather alerts will be shared via the Swimtopia app and our EC What's app app. Hannary West team's makeup meet day is Saturday morning. But hopefully that won't be needed. :)
First Aid: In the event it is needed, a first aid kit may be obtained at the computer table area located immediately to your left as you enter the pool through the gate (by the concessions stand).
FOR FAMILIES:
Parking:Please park on the pool side of the street – there will be signs indicating this or look for which side of the street everyone else has parked on. Please be respectful of neighbors and do not block driveways, walk through yards or leave trash behind. A family has kindly volunteered their time and golf cart to help transport people from their car to the pool. If you see the golf cart is available and want a ride simply let them know.
All spectators should bring folding chairs to sit on. Since the weather forecast is rain, for Thursday evening, families are welcome and encouraged to bring pop up tents. Please ensure the tent legs are weighted down so if there is wind the tents will not be blown into the pool or onto other spectators.
Heat Sheets & Results:There will be no paper heat sheets for sale at the meet. But computer volunteers will post results on top of the HW, by the entrance to the pool area, as they are available.
Volunteers:
All timers will meet at 5:40 p.m. outside the pool gate (in the parking lot so everyone can hear what is being said). All Stroke and Turn Officials will also meet outside the pool gate at 5:40 p.m. If it's raining both groups will meet in the tennis pavilion (across the parking lot and go to the pavilion by the tennis courts).
Our bullpen and staging volunteers have a meeting in the staging area at 5:30 p.m. Visiting team staging volunteers are encouraged to join this meeting.
Our computer volunteers will be set up in the pavilion (between the bathrooms and concession stand). The visiting team’s computer volunteer should bring their computer (with charger) to check times on. We try to save as much paper as possible, so we won’t be printing out times for your volunteer to check. Our volunteers will be running this meet in one volunteer shift. If you have a 2nd shift of volunteers please let me know, and our starter can make an announcement when you want those volunteers to change shift.
Concessions: They accept cash, credit, and debit cards. This week’s menu: baked ziti, chili, baked potatoes, nachos, walking tacos, pasta salad, watermelon, chips, cookies, brownies, candy and more! And a variety of drinks.
Meet Etiquette: We ask that the teams be respectful of the visitor’s area and dispose of all trash at the conclusion of the meet. Due to the volume of families in the pool deck and to ensure swimmers can hear the starter instructions, please do not play any music, movies, etc. from your mobile devices or use noise makers. The pool area is a no smoking or vaping, and glass free facility.
Inclement WeatherDuring inclement weather, all swimmers and families are required to clear the pool deck and return to their vehicles to safely wait out the weather until further notification via a Swimtopia alert.
